Who Are We Looking For?
We are seeking a highly organized and detail-oriented Events Associate to join our growing Marketing team on a contract-to-hire basis. Reporting to the Events Marketing Manager, this role will play a key part in supporting event logistics, execution, and promotional efforts across a range of programs—from conferences and happy hours to branded swag and gifting.
This is an exciting opportunity for someone looking to grow their career in event marketing, with the potential for full-time hire based on performance and evolving business needs. Full-time conversion will be based on performance, reliability, and business needs at the end of the 6-month period.
What Will You Be Doing?
The Events Associate will work closely with the Events Marketing Manager to:
- Support the execution of 80+ events annually, including conferences, happy hours, client activations, and branded events.
- Coordinate in-office shipping and logistics, including tradeshow booth materials, swag, and signage.
- Assist with the creation and delivery of printed collateral, signage, and event materials.
- Source venues for happy hours, dinners, and private events.
- Support the coordination of food, beverage, and AV needs for events.
- Assist with sourcing and producing branded swag and marketing assets to ensure brand consistency.
- Support logistics and fulfillment for corporate gifting initiatives, including sourcing, inventory tracking, and timely delivery.
- Fulfill other ad-hoc event-related requests as needed.
Requirements
The Necessities
- Bachelor’s degree in Marketing, Communications, Hospitality, or a related field
- 1–2 years of experience in event coordination, logistics, or marketing support
- Strong organizational and project management skills with keen attention to detail
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Proficient in Google Workspace (Docs, Sheets, Slides); familiarity with Asana or other project management tools is a plus

This role will be based in our New York City HQ and will be part of Vestwell's hybrid in-office operation (4x per week)
The expected salary range for this position is $37 per hour, for 30-hours each week. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.
