Job Summary:
As a leading provider of Public Safety Software, First Due hosts and participates in high-impact events across the country. We’re seeking a strategic, detail-oriented Events Specialist to lead the planning and execution of conferences and trade shows, while also supporting First Due–hosted events such as our Companywide Offsite and Annual User Summit.
Reporting to the Events Manager, you’ll manage Enhanced Event opportunities end-to-end and collaborate across departments, vendors, and partners to deliver high-quality experiences that strengthen the First Due brand and drive measurable ROI.
Key Responsibilities:
Enhanced Event Ownership
- Serve as project lead for Enhanced Events from research and contract review through execution and post-event follow-up
- Manage timelines, budgets, and run-of-show documents
- Oversee sponsorship deliverables (speaking sessions, branded assets, VIP events, etc.)
- Partner with Sales, Client Success, Marketing, and Leadership to align event strategy with company goals
First Due Hosted Events (Companywide Offsite & User Summit)
- Provide direct support for planning and execution of First Due–owned events
- Coordinate logistics, timelines, and internal communications with cross-functional stakeholders
- Assist with vendor management, attendee experience, and event operations
- Support development and deployment of event materials, signage, and attendee-facing assets
- Contribute to run-of-show planning and assist with on-site execution (registration, sessions, staff coordination)
- Help capture feedback and post-event insights to improve future experiences
Vendor & Sponsorship Management
- Coordinate with external partners on branding assets, booth design, and on-site activations
- Maximize value from sponsorship packages and support deliverable negotiations
- Partner with Creative and Content teams to produce graphics, signage, and presentation materials
Onsite Event Execution
- Travel to select events to manage booth setup, registration, sponsor activities, and staff coordination
- Serve as the on-site point of contact for logistics and brand execution
Systems, Reporting & Admin
- Maintain detailed event records in CRM and shared tools (e.g., Salesforce, Airtable, Notion)
- Support lead capture, routing, and post-event ROI reporting
- Manage shipping, inventory, and asset logistics
- Support pre and post-event communication with vendors and internal teams
Qualifications:
- 2–4 years of experience in event planning, trade shows, or experiential marketing
- Proven ability to manage multi-channel events with sponsorship components
- Strong project management and organizational skills with attention to detail
- Excellent written and verbal communication skills
- Experience with tools such as Salesforce, Airtable, Notion, and Microsoft Office
- Ability to travel 2–4 times per year
Preferred Qualifications:
- Experience in B2B SaaS or technology
- Familiarity with sponsorship negotiations and execution
- Comfortable working in fast-paced, cross-functional environments
