About the Role

Capsule is seeking an Office Experience Manager, who will be responsible for ensuring that our teammates are set up to do their best work at Capsule. The ideal candidate thrives in a fast paced environment and is passionate about making everyone who works at Capsule feel looked after and taken care of to do their best work. They possess a “no task too small” attitude, are approachable, friendly, and organized, interested in startups, and passionate about office culture and operations. This role is based in our NYC HQ office - 5 days a week.

Some of the things you’ll work on:

  • Embody and model Capsule’s culture and values to ensure all team members are enabled to do their best work

  • Encourage in-office attendance and foster engagement by creating a welcoming, engaging environment that supports collaboration and connection, including but not limited to scheduling catered lunches, etc.

  • Manage day-to-day office operations, including office and kitchen supplies upkeep, managing badge access including for new hires and/guests, workspace organization, greeting and coordinating visitor experiences, and ensuring an overall smooth office environment

  • Develop and manage the facilities and office budget, ensuring cost-effective decisions while maintaining a welcoming and functional office space

  • Support the executive team, including the CEO and President, with administrative tasks such as meeting preparation, special projects, and event planning, e.g. team offsites

  • Manage relationships with building management, vendors, and contractors, and partner with Capsule’s IT and People teams to address facilities needs and resolve issues. Supporting vendor management by compiling vendor information and maintaining an up-to-date national vendor network.

  • Coordinate and execute in-office or company-wide events, e.g. happy hours, team events, holiday parties

  • Handle a range of internal administrative tasks, including procurement, compliance, HR/benefits support, assisting with bills or documentation, answering phone calls, and performing other ad hoc duties as needed across the organization.

  • Own the onboarding process for new hires — coordinate IT and workspace setup, orientation scheduling, and ensure a delightful and seamless first-day experience

  • Support recruiting initiatives across the company, partnering with the People team and hiring managers as needed

Requirements:

  • 3+ years of experience in hospitality or facility management

  • Must be willing to be in office Monday-Friday

  • Highly organized and able to manage multiple projects simultaneously; obsessive attention to detail

  • Independent and self-motivated

  • Excellent written and verbal communicator

  • Natural ability to anticipate needs and solve problems; you appreciate a high-functioning work space

  • Relentlessly optimistic, service-oriented attitude

  • Never satisfied with the status quo, always thinking "how can we do this better?"

  • Strong computer skills, including slack, gmail, google calendar, google docs, and microsoft office
